What to Remove Before Uploading Documents to AI
An AI chatbot is, in a sense, a very capable stranger. Before you hand it your bill, your lease, or your medical statement, it is worth knowing what to take out first.
Good AI document privacy is not complicated, and it should not stop you using these tools for the boring paperwork they are so good at. It just takes ten seconds and a simple rule. Here is the traffic-light system we use in every workflow.
The traffic-light rule
Sort everything on the page into three colors. The good news is that most of it is green.
Always remove Red
Account and card numbers, Social Security and ID numbers, login details, and your full name paired with an account. These carry real risk, and the AI never needs them.
Remove if quick Amber
Your home address, exact dates, policy or reference numbers, and other people's contact details. Low risk, but tidy to take out.
Safe to keep Green
The actual content: the line items, charges, terms, symptoms, or dates you want help with. This is the part the AI needs to be useful.
You do not need to edit the file
The most common reason people skip this step is they assume they have to edit a PDF, which they cannot. You do not. Pick whichever of these is easiest:
- Just type it. Type the line items or figures into the chat and leave everything personal out. Easiest by far.
- Cover and photograph. Lay a sticky note over the sensitive parts and take a photo.
- Mark it up on your phone. Screenshot it, open the markup tool, and draw over the private bits.
- Use the source app. Many bank and patient portals let you copy the figures without the identifying header.
Why it matters (and why not to overthink it)
Removing the identifiers protects you if a conversation is ever seen, stored, or used to improve a model. At the same time, you do not need to be paranoid. The charges on a bill or the clauses in a lease are not what put you at risk. The account number is. Strip that, keep the content, and you get all the help with none of the exposure.
A quick example
Instead of the whole bill: "Internet, $89 a month, customer four years. New customers pay $55."
Everything the AI needs to help you negotiate is there. Your account number, your address, and the card on file are not. That is the whole skill, and it took about ten seconds.
