Turn School Emails into a Family Calendar
Drowning in school emails? Turn a week of newsletters and reminders into one clean calendar and a simple checklist of what you actually need to do.
Problem
The school sends ten emails a week and the dates that matter are buried inside newsletters, attachments, and reply-all threads. A permission slip is due Friday, picture day is Tuesday, there is a half day you did not notice, and you only find out when it is too late.
You do not need a new app or a color-coded binder. You need one clean list of what is happening and what you have to do, pulled out of the noise. This turns a pile of emails into exactly that in a couple of minutes.
Gather What to have ready before you start
- The school emails from the past week or two. Copy and paste the text, or forward them to yourself and copy from there.
- Any flyers or attachments with dates on them. Paste the text or type the key details.
- Your children's first names or initials, and their grade, so events get tagged to the right kid.
- Optional: anything already on your calendar that the school events need to fit around.

You do not need to edit a file. Pick whichever is easiest:
- Easiest, paste the text only. Copy the body of the emails into the chat and skip the headers, signatures, and links. Use a first name or just "my 3rd grader" instead of full names.
- Trim as you paste. When you copy an email, leave out the address block, phone numbers, and any payment or portal links.
- Summarize it yourself. If an email is long, just type the date and what is being asked. The AI organizes the rest.
- Scribble it out on your phone. If you screenshot an email, use Markup to draw over names or links before sharing.
- Your child's full name together with the school name and daily schedule.
- Your home address and any phone numbers.
- Payment links, lunch-account numbers, and portal logins.
- Teacher names and specific room numbers.
- The exact name of the school.
- Other families' names from reply-all threads.
- The dates, times, and event names.
- Deadlines and what is needed (permission slip, $5, a costume).
- The grade or class an event applies to.

Warnings Where AI falls short, and when to stop
- The AI only knows what you paste. If an email is missing, its event will not appear, so glance back at the source for anything important.
- It can misread a vague date like "next Friday." Double-check any date that involves money, a trip, or a hard deadline.
- Never paste your child's full name alongside the school name and their daily routine.
Confirm directly with the school for anything that is safety or legally sensitive: medical accommodations, an IEP or 504 plan deadline, or a custody handoff schedule. Use this workflow to stay on top of the everyday calendar, not to track items where a missed detail really matters.
